Inviting applications for the role Global Travel and Expense Lead, (Sub Function: Travel and Entertainment) Primary Purpose of the position The Travel and Expense Lead has dual responsibilities of global strategy development and regional operations oversight within the Global Travel and Expense (T&E) organization. The role has two variants: Expense/Technology Lead and Travel/Card Lead. One of each of these varients will be located within the Bucharest, Akron and Manila Global Business Service (GBS) centers. This position will have operational oversight for their respective regions while also owning the global strategy development for selected areas. Leads will be expected to collaborate with their peers within the region and within the other GBS centers – Ensuring global system/process standardization is maintained. The incumbent must have a strong understanding of T&E systems which is critical to develop solid processes/controls. He/She must be a self-starter and change agent – With a focus on project management, problem diagnosis/resolution, process improvement and implementation. This is a very visible position to all levels of management. This associate is responsible for managing/developing a team of T&E Senior Analysts and Analysts. The T&E Lead will also be responsible for the relationship with strategic T&E vendors to ensure superior service levels Primary Duties / Responsibilities Support the formulation/process design of global strategy for specific sub-areas (expense, policy, card, travel, compliance, systems, etc). Manage internal controls and develop training materials. Use data analytics to provide insights and maximize productivity. Partner with stakeholders to ensure tax/value-added tax (VAT) compliance, approval of accounting reconciliations, form policy and compliance governance. Partner with an external agency regarding program design (on-line booking tool content and negotiation of travel benefits). Develop a form of payment strategy (travel and purchasing card), recommend program enhancements, report-out to leaders regarding informed decisions about best practices, create internal T&E sites and develop T&E communications. Responsible for leading regional/middle-office operation teams for specific sub-areas. Collaborate with other T&E Leads to develop best-in-class global standard processes for expense systems, policy compliance, travel/purchasing card programs, travel programs, etc. Responsible for reviewing team performance and developing improvement plans for off-track tasks. Critcial liason between Global T&E Manager and T&E Operations teams – Understanding key T&E organization initiatives/metrics (cost, quality, customer service) and developing action plans for Analysts to successfully execute. Responsible for the governance of global T&E processes/system settings (including user acceptance testing [UAT] and regression tests). Actively review T&E areas/sytems/team members to ensure they meet functional/business requirements, maintain global standards and are up-to-date with data privacy/regulatory requirements. This includes having a broad knowledge base of different currencies, tax/VAT situations, pay strategies and processes in order to collaborate with Information Technology (IT) to deploy updates and help T&E team members resolve incidents. Core team member of identified projects that support T&E processes improvements or impact T&E processes. Leader of global reviews with stakeholders – Ensuring focus on specific areas requiring attention from Americas, EMEA (Europe, Middle East and Africa) and AP (Asia Pacific). Responsible for cultivating internal/external business partner relationships. This includes independently assessing situations and identifying the most approprate form of communication (i.e. in-person meeting, conference call, email, etc). Manage/Support T&E operations and personnel – Grow/Develop the T&E organziation, GBS. This includes, reviewing performance, approving standard operating procedure (SOP) documentation, career path development (for T&E Senior Analysts/Analysts), on-boarding/training of new team members and identifying any required work improvement plans. This role empowers, develops and leads the T&E team to obtain desired results. Educations and certifications. Required Bachelors Degree in Accounting, Finance or a related field. In Lieu of degree 8 or more years of experience problem solving and working in a customer service oriented environment,. Desired Masters degree in Accounting, Finance, or a related field. Experience 3 or more years of experience problem-solving Experience working in customer service oriented environment Experience working in a fast-paced or dynamic environment requires little to no oversight Experience with large corporate Travel and Expense systems (or similar applications) Finance or business partnership experience desired Knowledge, Skills and abilities Ability to provide creative thinking towards global strategy design and collaborate with peers across the GBS centers Ability to interact effectively with all levels of the organization: providing service in a gate keeping role Ability to maintain proper system/process controls Ability to problem-solve Ability to analyze issues/identify practical solutions Strong communication (written/verbal) skills
